Four Types of Bizcations - Relaxing, Tax-Deductible Business Vacations

If you're not sure you can afford a traditional vacation, and the idea of a "staycation" (staying close to home or at home) bores you, consider the "bizcation" - a combination of work and leisure that enables you to relax in a pleasant setting while pursuing some legitimate business goals, though not to the extent of stressing yourself.

When you plan your bizcation while keeping in mind the IRS guidelines for what counts as tax-deductible business travel, you may be able to deduct all or nearly all of your transportation, lodging and eating expenses for your trip as business expenses, while enjoying most of your time away from home as leisure.

According to IRS taxpayer publication #463, a crucial rule in what counts as deductible is this: "Count as a business day any day your presence is required at a particular place for a specific business purpose. Count it as a business day even if you spend most of the day on non-business activities."

Consequently, a valid bizcation plan includes something taking place Monday through Friday that could plausibly happen only at the vacation location. The weekends before and after can often be justifiably tacked on to enable you to recover from jet lag and take advantage of lower air fares or lodging specials.

(Note that you should check with your own tax advisor to be sure your situation conforms to all relevant guidelines for deductible business travel.)

Four Bizcation Plans

The following four concepts illustrate ways to show a convincing business reason for traveling and staying at a wonderful location for a week or two.

1. Attend a conference. Events with educational and/or business networking components should qualify you for tax deductibility. The conference topic doesn't have to be central to your line of business, just somehow relevant.

However, for the purposes of a bizcation, this option is a bit tricky. Conferences tend to pack as many meetings as possible into a relatively small number of days, such as three or four. You want to be able to attend a few sessions scattered from Monday through Friday without spending a fortune for a conference fee, and you want there to be plenty of time for sightseeing, golf, beach bumming or whatever else relaxes you.

2. Arrange an extended consultation. Many veteran consultants offer special deals for lengthy consultations on their own turf, which might be Chicago, Las Vegas, Phoenix or - in my case every winter - Maui. As with option #1, you want to stretch out the schedule of meetings to as many days as you can, rather than cram the whole consultation into just a day and a half.

My own bizcation schedule for clients meeting with me in Maui is three hours on Monday and one hour a day Tuesday through Friday, as well as an hour before and an hour after their visit to the island. Feel free to suggest this plan to your favorite guru who lives someplace you'd like to hang out.

3. Plan a working retreat. This can be solo or involve your top team members. Either way, a retreat provides an opportunity to engage in strategic planning or sustained project work away from the distractions of the office.

Writers, musicians and creative entrepreneurs have taken and justified solo retreats to the tax authorities for ages. The corporate retreat likewise has a long, respectable history. To fulfill the bizcation idea, just make sure you don't turn into a taskmaster with respect to yourself or others.

4. Meetings with clients. Finally, can you find a cluster of professional colleagues or folks on your client list in a place you want to visit? If so, plan a series of meetings with them that span the period of your visit. These can be one-on-one meetings or small-group get-togethers.

One American consultant I know who visited Australia as a tourist invited newsletter subscribers to a round-table lunch in Sydney during her visit. From what she wrote about the session afterwards, it was genuinely productive for her in keeping her abreast of business conditions around the world and in building closer relationships with her followers. You might be able to extend and tailor this idea to fit the requirements for a tax-deductible bizcation.

According to 2010 research by Homewood Suites, combining business travel with leisure is increasing in popularity. Of 540 travelers they surveyed who took three or more trips of four days or more a year, two-thirds sometimes or frequently combined a business and leisure trip. That number was up 16 percent from 10 years earlier.

On The Road Again...Techniques For Increasing Productivity When You're Traveling

In spite of all the talk about the romance of travel, if you're frequently on the road for business, you know the story is often quite different! If you're wandering around Europe with a significant other, missing a connection may only mean one less wonderful sightseeing opportunity in the city before you leave. If it happens on business travel, it often means chaos and lost opportunities. Through careful preparation, the loss can be minimized - and if you're really clever, new opportunities created!

Here are some tips you can use to hit the road with confidence. (If you're lucky enough to have an assistant, let him/her do some of the organizing for you!)

1. Start planning the trip as soon as possible. As soon as you get wind of an upcoming trip, begin collecting information in a file folder labeled with the date and event. (Don't overlook that reservations and other info you need is easily and quickly available on the Internet!) Your trip folder can contain:

o airline tickets

o car rental confirmation/coupons

o hotel confirmation

o directions to hotel/appointment

o names of contacts in site city

o map of the local area

2. Set up a section in your filing system for "Upcoming Trips." File in chronological order according to the date of the next trip so you can quickly check trip status. (A side benefit of this practice is that it will help you organize your desk more effectively!) Make a note in the trip file of other files that might be useful on the road.

3. Create, use, and update a business travel checklist. Keep a running list of everything you could possibly want or have ever used on a trip. Put a copy of the checklist in the front of the trip file. If your assistant does the packing, give it to him or her prior to the trip with the items you need checked. As you work together, your assistant will be able to do much of the packing without your input. (I frequently leave on a business trip without any idea of trip details - confident that the information is in my file, and has already been given to my family and colleagues.)

Travel Information at Your Fingertips

The sign of a savvy traveler is one who is always equipped with the latest travel information no matter where their travels are taking them. Before the age of computers, we dinosaurs had to rely on gathering our information the old fashioned way. Trips to the bookstore or library to find information did not always lead to the most updated travel information. Today's traveler has the most current and pertinent information at their fingertips with websites dedicated to providing travel information covering the globe. These sites are incredible sources for everything you want to know about your vacation or business travel.

My husband's work takes him around the world and often to places some of us don't even know exist. The particular site I use is a user friendly, which makes navigating possible for anyone. The first areas I always check are the travel warnings and advisories, which are posted by the United States government. These warnings are listed to describe conditions that make a country unstable or dangerous. The next step in gathering travel information is made easy by using the world map, which is broken down into specific areas: Western Hemisphere, Europe, Near East, South Central Asia, Africa, East Asia and Pacific. The A-Z index is also a quick way to select a country.

Once you have navigated to your country of choice, you will find a plethora of information. A map of the country is provided, as well as a description of the country, official language and currency. There is also specific information for each country, including entry-exit requirements, safety and security, crime, medical facilities, health information, road conditions and embassy locations. Links to other government sites are also listed for more comprehensive information. I have found putting together a travel information packet can be easily done with this great travel site and I always feel better knowing my husband is a well-informed traveler.

When a friend of mine was getting ready to move overseas, I immediately began gathering information for her. I was able to give her a complete report, which included unusual immigration practices, children's issues, available hospitals, safety issues and background notes by the Department of State. One of the most beneficial areas of information came from the checklists provided for Americans moving abroad. These lists covered everything from personal security on the street while traveling in that particular country. There were also check off lists for residential security, exit drills, preventative measures and security do's for children. This site is an incredible wealth of knowledge for anyone moving to a new country.

Information is knowledge. You can travel smart and with confidence when you have taken time to research your destination. Understanding things like the use of passports, entry/exit visas, immunizations, currency and local laws are all a part of the basic travel information one should posses when traveling outside of their own country. Start organizing your trip with a reputable site and don't forget to send postcards from all those great places you visit!

For the Business Traveler an International SIM is Not Just About Rates

International SIM cards are a great way to save money, but for the business traveler, there are some companies out there who provide great value added services that will make your travels more convenient and more enjoyable. I have looked at a lot of International SIM cards and some of the better services I have seen include:

- Language Interpretation Service- This is one of the greatest services I have seen from an International SIM card. If you are traveling to a country where you don't know the language, you have your own interpreter on call. This means you can order food, tell your cab driver where to go or make sure you are understood properly whilst making that important business deal.

- Message Bank- Pretty much all International SIM card providers offer a message bank, or voicemail, service. It is a must that you have one as you may miss calls.

- Mobile Points Program- Some international SIM card providers have done deals that mean every tome you make a call you get frequent flyer points. If these points tie in with the airline you use for travel, and you travel regularly, then this can be a great feature.

- GPRS Data- A a good feature but not essential. If you use a PDA or smart phone, offering data services means you can access your email if you need to. Some International SIM cards are already offering GPRS services, but they are still surprisingly expensive.

- Free Call number- An international SIM card may not be a mobile number from your home country, which means that anyone calling you whilst overseas will be making an international mobile call. Some of the better providers now offer a freecall service, meaning those calling you will not pay to call you, and you will only pay a small diversion fee to receive their calls.

Making the Most of an Unwanted Business Extended Stay

Eating is a necessity no matter where you are, so during your extended business trip do your best to discover all the restaurants, delicatessens, and bakeries near where you will be staying. From the bistros on Main Street to the hole in wall diners you are sure to find plenty to keep you busy and your stomach satisfied. One of the keys of making the most out of an extended business stay is to drive around casually and discover new places. Don't be afraid to stop at any place that looks interesting and you are sure to enjoy your stay.

Of course one final way to enjoy your time away from home is to catch up on your reading. This is an especially good idea if you are traveling for business by yourself or just trying to save money. You will be amazed at how much reading you can get done when you are in a different environment and have a lot of time on your hands.

The key to making the most of an unwanted business extended stay is to do your best to enjoy your new environment and do your best to experience it to the fullest. Most importantly, make sure you have booked an excellent temporary home location because that is where you will be spending most of your time.

The Future of Business Travel

As a regular business traveller you're faced with a number of choices for your travel solutions - Commercial Airlines, Jet Ownership, Fractional Jet Ownership, Ad-hoc Private Jet Charter or Managed Jet Charter Services.

If you're flying schedule is a combination of short and long trips or if the number of passengers or departure airport varies, this can work out to be a very expensive option.

A Traveler's Guide to Geneva - Switzerland

Switzerland ranks near the top among countries with highest quality of life in the world. The country's most cosmopolitan city is Geneva, which is also one of Europe's priciest. The city surrounds Lake Geneva with stunning views of the Alps and Jura mountain chains and is characterized by its strong French culture, evident in both the language and the cuisine.

Geneva is a major banking center and houses the top 200 international companies' headquarters, including the likes of the United Nations, International Red Cross, and the World Health Organization. The city is also the capital of watch making, one of the world's oldest technologies, with companies like Patek Philippe, Rolex and Piaget carrying forward a 450-year tradition.

Getting around Geneva:

From the airport

Geneva International Airport is located 5km (3 miles) from the city center. From the ticket machine in the baggage recovery area at the airport collect a free 'Unireso' ticket which will enable you to use public transport in Geneva city for 80 minutes. Transports Publics Genevois operates a bus route to the city center, which takes about 35 minutes. CFF trains leave regularly from Cointrin railway station at the airport and takes approx 6 minutes to reach the city. Taxis to the city center cost about SFr30-35 (approx. USD $30) taking 15-20 minutes. Around the city

Geneva is a compact city and is easily conquered on foot, but there are a number of transportation options when you need them. Driving is not recommended in the city due to the limited and expensive nature of parking.

The card allows you to use the public transport network for free during your entire stay. The local bus system covers virtually every square meter of the city and the intercity bus covers points outside the city.

The central train station, Gare Cornavin, has numerous rail links all over Switzerland and beyond. Be wary of pickpockets in and around the station, and if you're on business travel, don't let your laptop of briefcase leave your line of vision at any given time.

Ferry shuttles cross the lake, operating during daylight hours and departs every 10-30 minutes. Alternatively, pick up a free bicycle behind Gare Cornavin and at Quai du Mont-Blanc. The steep slopes of the Old Town and lack of bike paths in the city are a deterrent for most cyclists, but the paths along the lake are excellent.

Lake Geneva, Jet d'eau and gardens - Stroll along the promenades around the lake and discover the spectacular flower clock in the gardens of Lake Geneva. If you have time, take a boat cruise on Lake Geneva, with views of castles, monuments and of course the Jet d'eau, the tallest water fountain in the world.

The Old Town & St Pierre Cathedral - Wander along the cobbled streets of the Old Town and visit the boutiques tucked away in the charming alleyways. Stop by the Romanesque Saint Pierre Cathedral, designed in the mid-12th century and took an additional 150 years to complete. For the best panoramic views of Geneva head for the Cathedral tower.

Golf on the Go: Bangkok Golf Courses for the Business Traveler

Compared to a lot of other sports golf is time consuming. Not just the playing of the game itself, but also the fact that it often requires a little bit of travel. Plenty of people come to Thailand for golf holidays with the intention of traveling around a bit to check out the courses they're interested in; but there are also a lot of golfers who come to the kingdom on business and might not have time to travel too far outside of the city but would still like to be able to play a round or two of golf in Bagnkok while they are there. And while some of the best golf in Thailand is out in places like Hua Hin, Koh Samui, and Chiang Rai, Bangkok has some great courses of its own (34 of them to be exact) and the Pattaya golf scene (only about an hour from Bangkok) is second to none.

Greg Norman designed Thana City Golf Club just 15 minutes from the airport (about a half hour from downtown Bangkok) is one of the best maintained courses in the country and has recently seen a series of generous funding injections that went into gussying up the course and building an all-but-opulent clubhouse; but it's best hit early in the morning or during the low season for tourism (April through Septemberish) if you're concerned with time because they've pumped money into advertising too and it can get a little crowded.

Muang Kaew Golf Course is without a doubt the closest to the center of the city and Bangkok's main business district. This is one of the best rounds of golf in Bangkok, not only because the course is immaculately maintained and interestingly designed, but because the course is so conveniently located you won't be stressed about getting in and out in the time you have and can relax enough to play properly and enjoy yourself. They also rent poolside apartments so you can make sneaking a few holes in as pain free as possible.

With the incredible Laem Chabang International Country Club and Siam Country Club's two courses in Pattaya golf is never too far away from the business traveler in Thailand (only about an hour farther than golf in Bangkok). Check out the course details for yourself or look into having an agent help you work a few rounds into your schedule next time you have to make a trip to Bangkok; golf can't, and in fact shouldn't, always have to wait until you get home.

Guangzhou, China - No Longer Just For Business Travelers

If you find yourself in Hong Kong with a few extra days, why not take a trip up into southern China to its southern commercial hub, Guangzhou? Formally known as Canton, the city has been the destination for traders for centuries, situated as it is on the Pearl River.

A new generation of business travelers is certainly present in this sprawling metropolis today, but Guangzhou has become more than simply a place of interest to business travelers only. There is a nascent tourist industry, and there are activities and accommodations that will fit travelers on a budget, even backpackers. The real attraction of Guangzhou however is simply to wander its parks and indoor and outdoor shopping malls, marveling at the scale of the development that characterizes the new China. Nowhere is this more evident than in this city, and even a few days is enough to form an impression of just how economically vibrant the country has become.

Guangzhou is just a pleasant half-day train ride up from Hong Kong, taking you through bustling Shenzen, and by the time you arrive at the central station in Guangzhou you will already have been impressed by the size of the city as well as its modernity. There is a metro system in Guangzhou though taxis are relatively inexpensive too, although it's best to have your destination written down in Cantonese if you'd like to avoid unnecessary head scratching and driving around!

I was surprised at just how many good hotels are located in Guangzhou at prices that offer excellent value for money by Western standards. It is not at all difficult to find a room for US $30 per night, expensive by Chinese standards generally (compared to rural areas), but certainly on par or better than what you'd find in the West for that price. I would suggest heading down to Shamian Island, an oasis of quiet in this rather hectic city. It was formerly a trading outpost for Europeans in the 19th century, and the colonial architecture and wide streets certainly took me by surprise. There are several budget hotels and even hostels on the island, as well as some nice restaurants by the river.

While in Guangzhou don't miss a nighttime Pearl River cruise dinner, for reviews of the neon lit skyline: Chinese skyscrapers have a lot more color at night than their staid Western counterparts.

A cultural activity you will enjoy is the Yue Ju, or Cantonese opera, which might remind you just a little bit of Japanese kabuki. Ask around, some of the larger hotels will be able to point you in the right direction.

The mix of old and new you find in Guangzhou makes the city a legitimate travelers' destination now, a lot more than just a place to conduct business. Cheap Guangzhou hotels, reasonably priced restaurants and street food, as well as fairly easy local transport, puts the city on the map for budget travelers as well. I'd suggest going sooner rather than later; the pace of change here makes it clear that the city will be transformed again in just a few years.
